Backline policies

Privacy Policy

Effective September 2, 2026. This policy explains how Backline handles information when a business uses the Backline service.

Information Backline handles

Backline is operated by Derek Stayoch in Florida, United States. We handle information needed to provide the service, including account information such as names, email addresses, and sign-in details; workspace information such as business settings and team roles; and customer-work information that a workspace enters, including contact details, appointments, messages, estimates, invoices, payments recorded in Backline, files, and notes.

Backline also handles technical information needed to keep a signed-in workspace working, such as session data, device settings, and locally saved offline data when a user enables offline access on a trusted device.

How we use information

We use information to authenticate users, provide and secure each workspace, keep work records organized, send requested transactional messages, process subscriptions, respond to support requests, maintain the service, and investigate misuse or security issues.

Each workspace controls the customer information it enters into Backline. Workspace owners are responsible for having an appropriate basis to collect, use, and communicate with their customers through Backline.

Backline does not sell personal information or use customer-work information for unrelated advertising.

Service providers and disclosures

Backline uses service providers to operate the service:

  • Supabase provides authentication, database, and file-storage infrastructure.
  • Stripe processes Backline subscription payments. Backline does not store full payment-card numbers.
  • Resend delivers configured transactional email such as team invitations.
  • Google and Facebook may provide sign-in if a user chooses those options.

We share information with these providers only as needed to provide their respective services. We may also disclose information to comply with law, protect Backline and its users, investigate abuse, or complete a business transfer if one occurs.

Retention and deletion

We keep workspace data while a workspace is active or while it remains needed to provide access, support, or security. Cancellation alone does not delete workspace data.

A workspace owner may request deletion by emailing support@backlineoffice.com from the workspace owner's account email. After we verify the request, we will delete active workspace data within 30 days. We may retain limited information when necessary for security, fraud prevention, accounting, dispute resolution, or legal obligations.

Offline data saved to a device remains on that device until the user clears it or uses Backline's offline-access controls. Users should enable offline access only on devices they trust.

Your choices

Workspace users can update many account and workspace details from Backline. A workspace owner may request access to or export of the workspace's Backline data by contacting support. Subscription payment methods and recurring billing are managed through Stripe's secure billing portal.

Security and children

Backline uses access controls intended to keep each workspace separated and to limit team access by role. No online service can guarantee absolute security, so users should protect account credentials and promptly report suspected unauthorized access.

Backline is not directed to children under 13 and is not intended for users to submit personal information about children except where a business is independently authorized to do so.

Changes to this policy

We may update this policy as Backline changes. When we make a material change, we will post the revised policy here and update its effective date.
